Privacy Policy

What we store

Everything below is data you give us by using the product:

• Your account. Your name, email address, and a hashed password. If you sign in with Google or GitHub, we receive your name and email from them instead of a password. We also store the time zone you pick during onboarding so dates and reminders match your clock.
• Your applications. Company, role, status, dates, location, salary range, notes, and anything else you type into an application record.
• Interview details. Times, locations, and the contact people you add, including their names, email addresses, and phone numbers.
• Your documents. Resumes you upload and cover letters you write or generate.

We do not run advertising or analytics trackers. The only cookies we set are the session cookies that keep you signed in.

How we use it

Your data is used to run RoleRecall for you, and for nothing else. That means showing you your applications, sending you the emails the product needs (account verification, password resets, email change confirmations, and interview reminders you have coming up), and powering the AI features described below. We do not sell your data or share it with anyone for marketing.

AI features

Some features send parts of your data to an AI model to do their work: importing a job posting extracts the company and role from the page you provide, key points summarize an application, interview prep generates practice questions, and the cover letter writer drafts from your application details.

These requests go through OpenRouter, which routes them to the AI model provider. The content needed for the feature (the job posting, your application details, or your resume content) is shared with those services to process the request. We only send what the feature needs, and only when you use it.

Services we rely on

RoleRecall runs on infrastructure providers that process data on our behalf:

• Vercel hosts the application and stores uploaded files (your resumes).
• Neon hosts the database where your account and application records live.
• OpenRouter and the model providers it routes to process AI feature requests.
• Mailgun delivers the emails we send you.
• Google and GitHub handle sign-in if you choose to use them.

Other people's details

The recruiter and interviewer contacts you add belong to real people who never signed up for RoleRecall. We only use those details to show them back to you and to include them in your own interview reminders. They are never contacted by us. If someone asks you to remove their details, deleting them from the application record removes them from our systems.

Keeping and deleting your data

We keep your data for as long as your account exists. You can delete your account yourself from account settings, which removes your account and the records attached to it. If you get stuck or want a copy of your data first, email us and we will sort it out.

Security

Traffic to RoleRecall is encrypted, passwords are stored hashed, and your records are only accessible from your own account. No system is perfect, but if we ever become aware of a breach affecting your data we will tell you.

Your rights

Depending on where you live, you may have legal rights to access, correct, export, or delete your personal data. You can do most of that directly in the app. For anything else, email adam@adamth.com and we will help.

Changes to this policy

If this policy changes in a way that matters, we will update this page and the date at the top. Significant changes will also be announced by email.
